FitCentral LLC ("FitCentral," "we," "us," or "our") operates the website fitcentral.co, the coach web application at app.fitcentral.co, and the FitCentral client mobile application (collectively, the "Service"). This Privacy Policy explains how we collect, use, disclose, and protect your information when you use our Service.
By using the Service, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree with the terms of this Privacy Policy, please do not access or use the Service.
1. Information We Collect
Information You Provide to Us
When you create an account or use the Service, you may provide us with the following types of information:
Account Information: Your name, email address, password, profile photo, and role (coach, client, or administrator).
Profile Information: Phone number, date of birth, gender, bio, physical measurements (height, weight, body fat percentage), fitness goals, training preferences, and onboarding questionnaire responses.
Content You Create: Workout programs, exercise logs, nutrition logs, recipes, meal plans, habit tracking data, progress photos, body measurements, session notes, messages, group posts, challenge entries, and waiver signatures.
Payment Information: When you subscribe to FitCentral or process payments through the Service, payment details are collected and processed by our third-party payment processors, Stripe and Square. We do not store your full credit card number on our servers. We store transaction records including amounts, dates, payment status, and provider references.
Communications: Messages you send through our in-app messaging system, support requests, and feedback you provide to us.
Information Collected Automatically
When you access or use the Service, we automatically collect certain information:
Usage Data: Pages viewed, features used, actions taken, timestamps, and session duration.
Device Information: Device type, operating system, browser type, screen resolution, and device identifiers.
Log Data: IP address, access times, referring URLs, and error logs.
Cookies and Similar Technologies: We use cookies and similar tracking technologies to maintain your session, remember your preferences, and analyze how you use the Service. See our Cookie Policy for more details.
Information from Third-Party Services
If you choose to sign in using Google or Microsoft authentication, we receive your name, email address, and profile picture from those services. We do not receive your password from these providers.
If you or your coach connects a wearable device or fitness tracker, we may receive activity data, heart rate data, sleep data, and other health metrics from those services based on the permissions you grant.
If you or your coach uses the nutrition search feature, we query the FatSecret API to retrieve food and nutrition data. FatSecret may collect usage data in accordance with their own privacy policy.
2. How We Use Your Information
We use the information we collect to:
Provide, maintain, and improve the Service
Create and manage your account
Process payments and manage subscriptions
Enable communication between coaches and clients
Track workout progress, nutrition, habits, and body measurements
Generate compliance reports, analytics, and dashboards for coaches
Send transactional emails such as account verification, password resets, session reminders, and invitation emails
Monitor for and prevent fraudulent or unauthorized activity
Respond to your support requests and feedback
Comply with legal obligations
3. How We Share Your Information
We do not sell your personal information to third parties. We may share your information in the following circumstances:
Between Coaches and Clients: If you are a client, your coach (and any assistant coaches or administrators within your coaching organization) can view your profile information, workout logs, nutrition data, progress photos, body measurements, habit data, messages, and session history. This sharing is essential to the coaching relationship that the Service facilitates.
Service Providers: We use third-party services to help us operate the Service. These providers only access your information as needed to perform their functions and are obligated to protect it:
Stripe and Square (payment processing)
Resend (transactional email delivery)
Cloudflare (content delivery, file storage, and security)
Neon (database hosting)
Sentry (error monitoring and performance tracking)
Google Analytics (website usage analytics)
FatSecret (nutrition and food database)
Legal Requirements: We may disclose your information if required to do so by law, regulation, legal process, or governmental request, or when we believe disclosure is necessary to protect our rights, your safety, or the safety of others.
Business Transfers: If FitCentral is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you via email or a prominent notice on our Service before your information is transferred and becomes subject to a different privacy policy.
4. Data Retention
We retain your personal information for as long as your account is active or as needed to provide you the Service. If you request account deletion, we will process your request and delete your personal data within 30 days, except for information we are required to retain for legal, accounting, or compliance purposes.
Coaches who delete their account should be aware that client data associated with their organization may be retained if other administrators exist within the organization. If the entire organization is deleted, all associated data (including client data) will be permanently removed.
5. Data Security
We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. These measures include:
Encrypted data transmission using HTTPS/TLS
Secure password hashing
HttpOnly authentication cookies
Role-based access controls
Two-factor authentication (optional)
Encrypted storage of sensitive credentials using AES-256 encryption
Regular security monitoring through error tracking and logging
While we strive to protect your information, no method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security.
6. Your Rights and Choices
Depending on your location, you may have the following rights regarding your personal information:
Access: You can view and download much of your personal information directly through the Service, including your profile, workout history, nutrition logs, and progress data.
Correction: You can update your account information and profile details at any time through the Service.
Deletion: You can request deletion of your account through the account settings page. Account deletion requests are processed within 30 days.
Data Portability: You can request a copy of your personal data in a commonly used format by contacting us at support@fitcentral.co.
Opt Out of Communications: You can manage your notification preferences through the Service settings. Transactional emails related to your account (such as password resets and security alerts) cannot be opted out of while your account is active.

7. Children's Privacy
The Service is not directed to individuals under the age of 16. We do not knowingly collect personal information from children under 16. If we become aware that we have collected personal information from a child under 16, we will take steps to delete that information promptly. 8. International Data Transfers
The Service is hosted and operated in the United States. If you access the Service from outside the United States, please be aware that your information may be transferred to, stored, and processed in the United States, where data protection laws may differ from those in your country. By using the Service, you consent to the transfer of your information to the United States.
9. California Privacy Rights
If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect, the right to request deletion of your personal information, and the right not to be discriminated against for exercising your privacy rights.

FitCentral does not sell personal information as defined under the CCPA.

Your continued use of the Service after any changes constitutes your acceptance of the updated Privacy Policy.
